Salary: Grade 6, £27,254 - £28,858

Location: Service Headquarters, Summergroves way, Hessle

We are seeking a dedicated and highly organised Emergency Preparedness Administrator to join our team. This role carries significant administrative responsibility, serving as a central point for internal enquiries regarding emergency preparedness, planning, and business continuity. You will oversee essential systems and information that underpin risk management in accordance with legislation and the Community Risk Management Plan. Additionally, you will be instrumental in compiling qualitative and quantitative reports and play a key role in guiding managers and staff on operational policy implementation and best practices to support organisational efficiency and compliance.

We may be seeking a 2nd administrator to join the team in the new year following a restructure that will include similar responsibilities and skills. This post is still subject to a job evaluation.

Key Responsibilities:

  • Provide advice, support, and guidance to managers and staff on preparedness resource management, emergency planning and business continuity procedures.
  • Maintain databases and ensure that scheduled review checks are undertaken to ensure information is accurate and up to date.
  • Assist with submitting claims and financial returns for preparedness staff groups, ensuring paperwork is accurate and timely.
  • Produce statistical, benchmark, and legislative reports, data, and statistics as required by managers, senior officers, and external governing bodies from existing reporting systems.
  • Provide administrative support to Emergency Preparedness staff.
  • Provide administrative support during spate events and in a range of meetings including LRF, regional FRS, and internal meetings.

Essential Skills:

  • Comprehensive understanding of organisational policies, procedures, and best practices.
  • Strong communication and interpersonal abilities, skilled in resolving conflicts and offering guidance to managers, staff, and contacts on various topics.
  • Strong administrative and IT skills, with experience in maintaining information systems and efficiently handling data entry, extraction, manipulation, and reporting from databases or systems.
  • Demonstrated aptitude for analysing reports and data, as well as querying databases to retrieve information as needed.
  • Strong organisational skills to maintain efficient and effective service delivery.

Desirable Skills:

  • Creativity and innovation in problem-solving and process improvement.
  • Ability to gather information on problems using appropriate questioning techniques and analyse the information to identify and implement or advise on the appropriate solution.
  • Experience in producing detailed and accurate documentation and reports.
  • Ability to work within Data Protection Act confidentiality requirements.
